West Coast Idol Union

(abbreviated as WCIU) is a volunteer committee dedicated to supporting idols (and idol adjacent creators) based in or visiting the west coast. It primarily focuses on- California
- Oregon
- Washington
but welcomes surrounding regions and visitors too!

Community Projects

- idol grams & goodie bags for idolfest performers
- informational, workshop, and activity panels at conventions
- community gatherings (both attached to and outside of conventions)
- resharing promotionals of idols and events based in the west coast
- compiling resources of west coast idol opportunities

idolgrams

A letter or gift bag is given to the performer at the event by a WCIU volunteer (typically during their Meet and Greet or after their performance). More donations/purchases makes it more extravagant! Letters are hand-written and decorated by the WCIU staff. Gift bags are selected, purchased, and packaged by WCIU staff to ensure safety for the idols.Gift bags are customized to the designated idol as best as possible! We try to keep them small and easily portable when walking around an event. We also work with travel limitations (for example: needing to keep items carryon friendly).They may contain:
- craft supplies (stickers, paint pens)
- cosmetics (makeup, haircare, skincare)
- accessories/jewelry/keychain
- flowers/bouquets
- toys/trinkets/figures
- factory sealed candy, snacks, beverages
- electronics (external SSD, massager, portable fan, instax)
- athletic/vocal wellness
- fan memorabilia (art, rosettes, can badges, uchiwa)
- or other items!
All idol grams receive permission from the idol prior to listing them on our ko-fi. If an idol has not granted permission or is not appearing physically at the event, they will not listed on our ko-fi, and are unavailable for idolgram purchases. Some idols do not accept certain types of gifts or have rules about if members of a group may receive an idolgram or if they only accept grams as a group. WCIU follows the idols' rules for letter and gift giving.Idolgrams are not associated with the idols' official merchandise or the event they are performing at. Please support the idols directly as well!~ Additionally, rather than the idols directly or the event, please make sure to reach out to WCIU for any questions or concerns about the project!

jpop picnic

WCIU reserves a small picnic spot (or even an amphitheater!) at a local park or beach for a cozy idol potluck. With enough funding, WCIU can provide the main course! Bring small bites, drinks, or dessert to share! And don't forget your picnic blanket!Activities may include random dance play, karaoke, guerilla idolfest, tiktok collabs, and anything else we'd like to do!This event is hosted as a relaxing off-kai gathering for kaigai idols to meet and spend time together. It's free entry, but RSVP-based to make sure attendees don't exceed our reservation.

funding

- We commission small, local businesses and artists to create merchandise for general fundraising.
Staff or volunteers hand-make items to sell as WCIU merchandise (receiving reimbursement for their materials expense).
- For non-WCIU items sold at our convention community tables (when conventions invite us out), we take a commission of proceeds.
- We sell idol gram purchases and accept donations to purchase supplies for performer goodie bags. The higher the donation/purchases, the more extravagant we can make them!
- Volunteers or community members donate their own money, time, resources, and materials

All roles may be split between various staff

volunteer vs. columnist

volunteer

Volunteers (or "Staff") manage the backend of WCIU. They manage the social media pages, website, application process, event coordination, finances, and all other administration related to the committee.Volunteers only need to specialize in contributing one skill (or a various combination of skills) to WCIU. For example, a Discord Activity Director only needs to host Activity Nights, program the Game Bots, and engage with members of the Discord Server. A Video Editor only needs to edit videos, but does not need to post them to social media. Meanwhile, a Columnist would be required to execute an entire project on their own.Volunteers provide direct face-to-face support for idols by interacting with and building the community, hosting gatherings and collaborative dance covers, conducting research, delivering IdolGrams to idols, cheering at performances, covering events, and more!Volunteers work independently -- in the way that they decide on their own what they can contribute to support WCIU, and then execute tasks without needing to be assigned. WCIU is what the Volunteers decide to make of it!As their draw is in their ability to support idols and idol-adjacent creators in the west coast, they do not need to be an idol themself, but may be an artist, graphic designer, photographer, videographer, video editor, event coordinator, admin specialist, fundraiser, or anything else! They may even just be an idol wota dedicated to supporting their favorite idols and groups.

columnist

Columnists guest appear or do collaboration columns within WCIU programming. They independently create segments and submit their content for WCIU to feature in posts or in panels. They may teach various skills, perform/demo, or make other contributions!The focus of Columnists is to independently generate content for WCIU to post. They must be highly skilled or contain expertise in the areas they provide knowledge in.Columnists are responsible for full content production and skill sharing. They are responsible for overseeing the entire start to finish of Events/Gatherings, Tutorials, Workshops, Advice Infographics, Recommendations, and Entertainment segments (minus the scheduling of when content is posted). They require permission to start and run segments from the owner of WCIU.As their draw is in their ability to teach skills or provide advice and coaching to aspiring idols, they do not need to be an idol themself, but may be a vocal coach, music producer, choreographer, talent manager, makeup artist, costume designer, fitness instructor, or anything else!If a Columnist can provide unique enough segments and do not have these skills on their own, WCIU staff can provide content creation support such as graphic design, information compilation/archival, video editing, and more. However, it is mostly expected for Columnists to be able to create their segments independently. WCIU then manages the release dates of columnist segments to ensure no overlapping.

carrd editor

The Carrd Editor is directly responsible for the maintenance, moderation, uploading of
content, and design of the West Coast Idol Union (WCIU) website, which is hosted via Carrd. The Website Designer will work closely with the director to ensure that the vision for the WCIU website is up to standard, and will work with all staff members to ensure the timely upload of all content to the website.

content manager (trainee)

The Content Manager (Trainee) will be training to assume the following named responsibilities of the Content Manager.The Content Manager is responsible for the post scheduling of content created by Volunteers and Columnists for West Coast Idol Union (WCIU). This may include: event, project, recruitment, and other promo; infographics; dance covers; vlogs; interview recordings; advice columns; and other content. At the moment, content will be made for the following platforms: Instagram and YouTube. With enough volunteers, WCIU may expand to TikTok, Twitter, and/or Twitch.The Content Manager will also be directly responsible for the maintenance and management of accounts on various platforms. The Content Manager must have high levels of organization, interpersonal skills, and online activity; as well as be knowledgeable in Instagram Trends, kaigai idol culture and community.This is a trainee position for higher level management. This role shadows/trains under the current Content Manager to eventually assist or fully take over.

The Discord Activity Coordinator will manage all entertainment and activities related to the West Coast Idol Union (WCIU) Discord server. The Discord Activity Coordinator will also be responsible for the creation, execution, and hosting of community events held on the WCIU Discord server (i.e., Karaoke Nights, Idol Livestream Watch Parties, etc.).

fundraiser

The Fundraiser will be directly responsible for the oversight of the fundraising efforts of WCIU, as well as the financial management of WCIU funds. The Fundraiser will also be directly responsible for the oversight of administrative functions of West Coast Idol Union (WCIU) (i.e., account management, official communication with oversight from Director).

columnist

Columnists guest appear or do collaboration columns within WCIU programming. They independently create segments and submit their content for WCIU to feature in posts or in panels. They may teach various skills, perform/demo, or make other contributions!The focus of Columnists is to independently generate content for WCIU to post. They must be highly skilled or contain expertise in the areas they provide knowledge in.Columnists are responsible for full content production and skill sharing. They are responsible for overseeing the entire start to finish of Events/Gatherings, Tutorials, Workshops, Advice Infographics, Recommendations, and Entertainment segments (minus the scheduling of when content is posted). They require permission to start and run segments from the owner of WCIU.As their draw is in their ability to teach skills or provide advice and coaching to aspiring idols, they do not need to be an idol themself, but may be a vocal coach, music producer, choreographer, talent manager, makeup artist, costume designer, fitness instructor, or anything else!If a Columnist can provide unique enough segments and do not have these skills on their own, WCIU staff can provide content creation support such as graphic design, information compilation/archival, video editing, and more. However, it is mostly expected for Columnists to be able to create their segments independently. WCIU then manages the release dates of columnist segments to ensure no overlapping.
